Documents originating from our consular district (Greater Ottawa Region) to be used in Taiwan can be authenticated by this office
General Requirements:
- The valid passport of the applicant as the proof of his or her identity. For those unable to submit their application in person, they may either send by agent or by mail with the following requirement together with the original documents and the completed application forms.
- The completed application form for document authentication filled by the applicant or his or her agent.
- *The original documents submitted for authentication and one photocopy. (For the purpose of this office’s record, we request one extra photocopy of each document that requires authentication. However, if several documents are identical, one photocopy is sufficient.) Please note, all documents more than 30 pages MUST be binded or stapled. *please check the additional requirements
- By Agent:
- a notarized (by Notary Public) Power of Attorney or Letter of Authorization indicates that the agent is duly authorized by the applicant to submit the application to this office;
- The valid passport or photo ID including name and date of birth of the agent as the proof of his or her identity.
- By Mail: the original or a notarized photocopy of the applicant’s valid passport, for those who are living in Taiwan shall have the photocopy of their valid passports notarized first by their diplomatic/consular missions in Taiwan and then authenticated by the Bureau of Consular Affairs, Ministry of Foreign Affairs in Taipei(boca.gov.tw)as proof of their identity. The original passport will be returned to the applicant after the process.
- This office reserves the right to request additional supporting documents depending on the nature of every individual application
- Authentication fee: please refer to Application fees. Payment is ONLY accepted by Cash, Money Order, Bank Draft or Certified Cheque, which must be made payable to “Taipei Economic and Cultural Office in Canada” or “Taipei Eco. & Cul. Office in Canada”
- NOTE: When you purchase a Bank draft or Bank Cheque, please make sure the cheque contains the Magnetic Ink Character Recognition (MICR) code
- The processing time will be longer if we have questions and / or require clarification from you about your request. NO EXPEDITED SERVICES WILL BE PROVIDED!!
- There is no tracking system in place for documents sent by regular mail. Sending and receiving your documents by a courier service or register mail is highly recommended
- This office can only provide the status of your documents after your documents have been processed.
- This office is not responsible for delayed, lost, or stolen mail. If you want to apply by mail, a pre-paid self-addressed return Xpress Post / Courier envelope must be included.
- Any documents with more than Two(2)pages must be properly stabled using a corner binding or a book/spiral biding.

Marriage Certificate / “Copy of an Act of Marriage”:
- This office only certifies “Long form Marriage Certificate (Ottawa)” issued by the Vital Statistics authorities in our service area.
- The Marriage Certificate / “Copy of an Act of Marriage” issued by the authorities concerned should be submitted with your application. Birth Certificate / “Copy of an Act of Birth”:
- This office only certifies “Long form Birth Certificate (Ottawa)” issued by the Vital Statistics authorities in our service area.
- The Birth Certificate / “Copy of an Act of Birth” issued by the authorities concerned should be submitted with your application. Health Certificate / Immunization Record:
- Original Health Certificate / Immunization Record signed by the family doctor or by a representative of the relevant medical association. Please also provide their contact information for verification.
Diploma:
- One (1) completed letter of authorization to release academic information.
- One (1) photocopy of student ID.
- One (1) Official “Sealed Transcript”
- A “Sealed Transcript” means that the transcript is stamped sealed on each page and is placed in an envelope with the University Registrar’s signature across the back flap. For a “Sealed Transcript” to remain official, it CANNOT be opened.
Transcript or Proof of Enrollment:
- One(1)completed letter of authorization to release academic information.
- One(1)photocopy of student ID.

RCMP Criminal Record Check
- This office only authenticates the Criminal Record Check contained fingerprints, name and date of birth issued by the Royal Canadian Mounted Police(RCMP).
Driver’s License:

Death Certificate / “Copy of an Act of Death”:
- This office only certifies “Long form Death Certificate(Ontario, Newfoundland and Labrador)” or “Copy of an Act of Death(Québec)” issued by the Vital Statistics authorities in our service area.
- To confirm to the policy of the Vital Statistic, those who hold the older version of the Certificates of Death / “Copy of an Act of Death” should return the old version to the Vital Statistic for exchange of the new version, before submitting to our office for authentication.
- The Death Certificate / “Copy of an Act of Death” issued by the authorities concerned should be submitted with your application. Single Search:
- Original marriage status search record/certificate issued by register general(Ministry of Government services in Ontario, Services Québec)
Other documents:
- If the documents involve important changes of personal identity, property, inheritance, child adoption, or relate to commercial activities, they need to be notarized first by the local notary public or commissioner of oaths, and then verified by the Provincial or Territorial Authorities in charge of document authentication.If there is more than one page in the documents, it is required to have the signature or the seal of the notary public on every single page. If the documents are not properly notarized, the application will be rejected.
